Terms and Conditions

1. Services

Studio Groupie offers:

  • Event and concert photography
  • Videography
  • Graphic and web design
  • Merchandise design
  • Communications and creative consulting

Each project’s scope, timeline, and fees will be confirmed in a written quote or proposal.

2. Booking, Deposits & Payment

  • A 50% deposit is required for all clients when placing a booking. This secures your date helps us plan ahead. The deposit is non‑refundable if you cancel without rescheduling.
  • The balance is due within 14 days of the final invoice.
  • If payments are late, a 20% fee per 14 days may apply unless we’ve agreed on an extension.
  • Final files will be delivered once payment is complete

3. Cancellations & Rescheduling

  • If you need to cancel: Deposits are non‑refundable if cancelled within 3 days of the shoot. With at least 3 days’ notice, you can reschedule once (subject to availability).
  • If we need to cancel: In the unlikely event of illness or emergency, you can choose a full refund or a new date.
  • Please note: We can’t take responsibility for disruptions caused by venue rules, organisers, weather, safety concerns, or access restrictions. Clients are responsible for ensuring we have the right permissions to enter and photograph at the venue.

4. Turnaround & Rush Work

  • Event photography images are delivered within 7 days.
  • A next‑day sample can be provided for $50, or a full rush delivery is available for $100.
  • Graphic design and web projects vary depending on scope. Revisions are quoted separately.
  • Rush design work may incur a 25–50% surcharge depending on urgency.

5. Copyright & Usage

  • Studio Groupie retains copyright on all images, video, and designs.
  • Clients receive a licence for personal or promotional use. Commercial use (like advertising, merchandise resale) requires a separate agreement.
  • For design projects, you can choose:
    • Buyout: Full ownership of the final design (drafts remain Studio Groupie’s).
    • Licensed use: Licence for agreed purposes; extended use requires an additional licence.
  • We love to celebrate our work, so Studio Groupie may showcase completed projects in portfolios, social media, and promotional materials unless confidentiality is requested in writing.
  • When sharing our work online or in print, please credit Studio Groupie (it means a lot to us).

6. Client Responsibilities

  • Please secure all necessary venue permissions and access, such as backstage or photo passes, and entry to the event.
  • We’re not responsible for restrictions imposed by venues, organisers, or late arrivals.
  • Please provide accurate project details and respond promptly to help us get the best results.
  • Altering final images or designs without written consent is not permitted. Please ask us if you need any alterations made, as we can often do this without charge.
  • At concerts and events, we kindly ask that a safe, secure space be provided for our photography equipment. This helps us work smoothly and ensures our gear is protected while we focus on capturing your event.

7. Safety & Liability

  • We won’t operate in unsafe environments: your safety and ours come first.
  • We’re not liable for loss of access, venue restrictions, technical issues, or delays caused by third parties.
  • In the rare event of equipment failure or data loss on our part, our liability is limited to a refund of payments made for the affected portion of work.

8. Delivery & File Storage

  • Final files are delivered via a secure online link.
  • Files remain available for 30 days. Please download and back them up during this time. Long‑term storage can be arranged if needed.

9. Confidentiality

All discussions and information shared between Studio Groupie and clients are treated as confidential unless agreed otherwise.

10. Acceptance of Terms

By confirming a booking or accepting a quote with Studio Groupie, you agree to these Terms & Conditions.
